Description
DO YOU HAVE 10+ YEARS OF EXPERIENCE AS AN ASSISTANT IN HOSPITALITY? We are looking for an Executive Assistant (EA) who will serve as the General Manager’s eyes, ears, right hand and spokesperson. He or she will exercise independent discretion and judgment in matters of significance while coordinating all communication between GM, members and staff, and overseeing the smooth functioning of the General Manager’s office - the central location for executive meetings, planning and daily Club operations. The EA will ensure GM is aware of all issues affecting members and department heads, and that members, department heads and staff know the GM is aware of their issues and concerns. He or she will represent the GM with members and staff when he cannot be personally available, in addition to handling discrete responsibilities directly related to communication with members and the management of the Club. This position requires a polished, composed, and self-assured individual with extensive hospitality industry experience, who can exercise sound judgment in assisting Club members, managers and executives from all departments. An attentive, warm personality with the ability to manage multiple calendars and schedules with ever-shifting priorities is a must. The EA will remain assertive, yet genuinely hospitable, in all circumstances, utilizing high level communication skills to take charge of business needs and accomplish our goal of total member satisfaction. Responsibilities include:

• Act as the first-point of contact for all visitors to the Executive Office, meeting and greeting, and corresponding with members and visitors, serving as a gracious hostess with the ability to assess how each visitor’s needs can be met favorably.
• Answer telephones, actively listening and obtaining necessary facts, logging calls and inquiries, making appointments, taking detailed messages and following-up when necessary. Check voicemail messages of the General Manager.
• Receive complaints, challenges, and community concerns or inquiries, responding empathetically and resolving the situation or deferring to management as appropriate. Track and log complaints.
• Serve as Member liaison with the GM’s office and attempt to pre-emptively solve problems and answer inquiries and questions, deferring to the General Manager and Department Heads when necessary.
• Ensure all Executive Office communication, written and verbal, is grammatically correct, free of typos, spelling errors and other mistakes.
• Edit monthly marketing publication, Dateline, which markets all Club events to members; oversee and edit weekly content of Hillcrest Happenings email blast; quarterly Fairway magazine of Club news and announcements; edit all posters for Club events; and draft Presidential Postings for internal publications as requested.

1) A minimum of ten plus (10+) years of hospitality or related industry experience
2) Excellent communication skills, including first class professional verbal and written communication in English with all stakeholders
3) Positive, professional and warm disposition; passionate about hospitality, exuding ease, approachability and a sincere approach to member service
4) Proven ability to work with all levels within the organization
5) Proven ability to take initiative, apply analysis, and reason to problem solving skills
6) Proven ability to establish and maintain successful business relationships

10) Strong track record maintaining confidentiality
11) An active team player, able to contribute to the creation of a cohesive, creative, fun, team environment
12) Proven experience paying strong attention to detail, demonstrating excellent organizational skills and follow-through
13) Ability to maintain accurate and detailed records, meet deadlines and manage multiple projects and processes in support of various operating departments
14) Flexible and adaptable to an evolving environment
