Private arts club in the heart of Chelsea is seeking a competent and outgoing Office Manager. Candidates must have a welcoming demeanor, multi-tasking skills and are dependable with a can-do attitude, and have a general knowledge of and passion for the arts and an interest in the hospitality industry.
Position availability: Immediate
Schedule: 9am-5pm Monday-Friday
JOB DESCRIPTION (responsibilities are included but not limited to):
Open the club at 9am (Monday-Friday) and check to make sure all FOH staff is present and punctual
Light the house and take a quick survey of any maintenance issues the needs to be addressed
Open the safe and count all banks and cash drops from the night night prior. Deliver cash drop to the bank and get any needed change
Maintain a clean office and eliminate all unnecessary clutter
Place weekly office supply orders with staples/amazon
Email any itemized receipts at the request of members or event hosts
Manage storage unit at Manhattan Mini Storage
Offer stellar customer service to members and reciprocal members requesting specific attention
Mail all vendor checks
Maintain relationships with phone, cable and internet companies
Check all event leads on event software
Ring in all private events and email invoice to the client
Work in tandem with Director of Membership to maintain accurate master list
File all necessary paperwork (invites, membership applications, event folders)
Copy Edit all member mailers
Qualifications:
- MUST be competent with a Mac computer and all associated applications.
- Comfortable with Gmail as well as other Google apps (Drive, Calendar etc.)
• Familiar with several social media platforms (Facebook, Twitter, Instagram, LinkedIn etc.)
• Exceptional telephone and e-mail demeanor
• Strong communication and interpersonal skills
• Able to multi-task and problem solve
• An interest in the arts community
• Bachelor's Degree not required but preferred
